Congress Consultants B.V. is an international Professional Congress Organiser (PCO) which provides the full range of services necessary to make every meeting, event or congress an outstanding success. Congress Consultants mainly organises urology related, scientific meetings and congresses for the European Association of Urology (EAU). Within Congress Consultants there are several project teams, each team consists of a Project Manager and 2 or 3 Project Assistants.

Job description
The Project Assistant is responsible for overall assistance on projects dedicated to the organisation of meetings but is also capable of executing (parts of) projects independently. The Project Assistant reports to the Project Manager.

Every meeting, congress etc. has some similar tasks with regards to abstracts, registrations, scientific programme, social programme and logistics.

Prior to the events:

  • Processing abstracts in the Conference Management System
  • Handling of the abstract review process
  • Invitation of speakers
  • Flights and accommodation arrangements speakers
  • Registration handling
  • Promotion and advertising
  • Production of publications:
    • Programme/course books
    • Abstract books
    • Website
    • Social media
  • Arrangement logistic aspects of the events (such as cargo transport, catering, security etc.)
  • Organisation social programmes
  • Exhibition handling
  • Dealing with internal/external suppliers and contacts
  • Site inspections to venues for logistic organisation
  • All other arrangements for the events

During the events:

  • Update publications (website and social media)
  • Registration handling
  • Liaison with delegates, speakers, suppliers, venues and exhibitors
  • Attending/produce minutes board meetings
  • All other arrangements for the events

Job requirements

  • HBO education in e.g. Facility Management, Hotel management, Tourism, Leisure Management or Communications
  • 2-3 years of experience in a similar position
  • Excellent writing/speaking skills in English
  • Good knowledge of Microsoft Office and preferably any experience with a Conference Management System
  • Acquired competences: Customer friendly, result oriented, flexible, stress proof and accurate
  • Excellent typing skills
  • Availability to travel up to ten times a year including overnight and weekends, with up to two weeks a year to attend the Annual EAU Congress
